Position Description The Senior Executive Associate to the President reports directly to the President and is involved in performing administrative work that is oriented to the administration and business operations of the President's Office. This position acts as liaison between the President's Office and other functional offices, employee groups, System-wide Chancellor's Office and the external community. This position requires a high level of confidentiality, discretion and independent judgment. Projects assigned to this position will be varied, but require special concentration and skills, including the ability to: analyze operations, make judgments and referrals; evaluate and install standards and procedures; conduct confidential research; manage projects within time lines; and prepare detailed and comprehensive reports of status, findings, and recommendations. The Senior Executive Associate to the President also provides administrative support to the Presidents' Cabinet and the Council of Trustees. Examples of DutiesResponsibilities require special concentration and skills that include the ability to analyze operations, evaluate and install standards and procedures, conduct confidential research, and manage responsibilities within time lines.Provide administrative support to the President. Plans, organizes, coordinates, and oversees daily office activities and operations. Ensure smooth operation of the office.First line of contact for the President's office. Greet guests and others contacting the President's Office; addressing their concerns/needs and/or direct to the appropriate office.Perform in-depth research and conducts fact-finding on sensitive and confidential issues of significance which require the President's personal attention. Apply situational judgment while facilitating conflict resolution. Makes referrals to the appropriate vice-president, department directors, State System representatives, agencies, and federal/state legislative bodies as necessary.Prepare, review and secure confidential materials (e.g. Faculty Sabbatical requests, tenure requests, promotion recommendations, and renewals/non-renewals.Review faculty packets of renewal/non-renewal and promotion materials. Develop a concise recommendation for the President to utilize in communicating the final decision to the faculty member.Review annual sabbatical application packets. Write an abbreviated abstract of each application request for the President to utilize in making decisions to grant/deny the sabbatical leave request. Coordinate with President, Provost, Academic Deans, and Human Resources to prepare the following letters: eligibility and procedure to apply for tenure, tenure notification letters, renewal/non-renewal letters, etc. for the President's signature.Acts in a liaison capacity between the Office of the Chancellor, the Council of Trustees, the President's executive staff, and other University constituents, both internal and external. Also coordinates campus visits and communications for the Board of Governors and PASSHE administrators.Independently prioritizes and coordinates the President's calendar, preparing pertinent information for the President's use for meeting with internal and external constituents, assuring the President is fully prepared and briefed.Work with the Marketing Department in coordinating news releases, newsletters, articles and other materials.Schedule regular meetings with direct reports and others as directed by the President; schedule other meetings as required.Assist the President in resolving complaints/issues from students, parents, staff, and community members. This requires the ability to independently determine problems and provide solutions, fostering the trust and confidence of the President and the constituents. Work closely with the President to ensure timely responses.Plans and coordinates President's events. This requires excellent planning skills, attention to detail, and the ability to work as a team player.Coordinate with the President and Cabinet members the Cabinet meetings - including retreats; prepare meeting materials such as agendas, notes and other relevant agenda documents for review and action by Cabinet; attend meetings; take notes, post notes to web.Maintain master list of Faculty Emeriti and display of engraved names located in North Hall Library.Monitor and track tasks assigned to the President's Cabinet and others to ensure their completion in a timely fashion.Notify and track Management Performance Evaluation & Development Forms and goals completion and submission by President's Direct Reports.Prepare certificates and note cards for students on the President's List each May and December.Maintain accurate emergency phone contact list and distribute as appropriate.Coordinate and prepare travel vouchers for President's travel. Share quarterly travel report with Council of Trustees Chairperson for review and approval. Maintain files pertaining to travel.Monitor and distribute all employment forms signed by the president.Coordinate logistics for holiday and special events, i.e. luncheons, dinners, receptions, open forums for diverse groups (retirees, legislatures, State System visitors, Trustees). Identify dates; compile invitation list and send invitations; manage RSVP's; organize menu; etc.Assist the Vice President for Administration and Finance in coordination of Employee Appreciation Luncheon.Oversight of the President's residence: direct incoming move for each President; manage any necessary maintenance; notify Facilities crew and President's family regarding events at the residence; coordinate all events at the residence on behalf of the president. Assist Inventory Control employee in yearly audit of University owned property located in the official president's residence.Monitor and manage president's mail.Perform any other related duties as required or assigned. Serves as liaison to the Council of TrusteesProvide administrative support to the Council of Trustees.Coordinate with the President, Vice Presidents, and Council Chairperson the Council meetings and special events. Prepare agenda, minutes and materials, reserves space. Distributes information to council members in a timely manner. Coordinate correspondence for the Council of Trustees, e.g. agendas and supporting materials, resolutions for Council's consideration, as well as preparations to facilitate arrangements for Council's activities.Organizes the Council's Retreat in coordination with the President and Council chair.Attends regular Council meetings, takes minutes, transcribes and circulates to appropriate members. Preserve official minutes of the Mansfield University Council of Trustees' meetings.Develop and initiate appropriate public announcements in compliance with the "Sunshine Law".Coordinate all catering arrangements for trustee meetings.Prepare travel/hotel for trustees when needed. Assist in troubleshooting email issues, keeping compliant with BOG policies and Council Bylaws.Work with the Presidential Evaluation committee in instituting the President's annual evaluation.Work with the Council chair and the current student trustee when time to replace student trustee. Work within the MU process and BOG policy.Work with the Presidential Search Committee as needed.Attend PACT conferences.Assist with other duties as requested by Council members. CommencementAssist the Commencement Coordinator in areas related to the platform party and the coordination, correspondence with the commencement speaker. Assist in review of commencement program.Write script for the commencement ceremony.Finalize the platform, VIP, and reserved seating arrangements.Assist the Commencement Coordinator with details/coordination of the ceremony as needed.Coordinate President's Commencement brunch for the platform party, coordinate transportation of the platform party to and from the ceremony.Maintain and monitor proper care of the President and Council's academic regalia, ensure Trustees have robe, tam, and hood for commencement along with others in platform party. ConvocationWork with the Vice President of University Senate to coordinate all details of the Convocation ceremony.
