Direct hourly employees and serve as front lead classified to coordinate office workflow. ESSENTIAL FUNCTIONS: Perform specialized and technical duties in support of assigned programs and services which may include: Cal Grant Program: perform specialized duties in support of the program to ensure compliance with program guidelines. College Work Study Program: develop job openings through employer contacts and match applicants to employer needs; interview, screen and refer students for job placement; aid students in assessing current career development; advise students concerning jobs; follow up on placement to assess program effectiveness; monitor College Work Study earnings. Assist in the coordination of desk work schedules to ensure adequate office coverage for overall student service; in coordination with supervisor or lead person prepare for and conduct staff meetings and the development of strategies to improve delivery of Financial Aid services. Plan, coordinate and monitor specialized and technical application processes to ensure efficient, accurate and timely processing of financial aid applications. Analyze and review data processing output for accuracy; identify and resolve programming problems; recommend system enhancements to improve program operation. Evaluate and compare income information on financial aid forms and applications to determine if documentation is accurate in order to ensure timely review of application; perform initial review of applications and resolve income, dependency and citizenship discrepancies before final eligibility is determined by the Financial Aid Advisor. Operate financial aid software programs to process financial aid applications; troubleshoot potential software problems. Load initial electronic financial aid applications into college financial aid system/database. Scan and link multiple documents; track rejected financial aid applications to determine potential problems. Resolve discrepancies between federal processing system and college financial aid system to ensure timely determination of student eligibility. Educate students and parents about financial aid eligibility through financial aid presentations, college fairs, and outreach events; educate students about satisfactory academic progress requirements and advise them on how to meet requirements for continued financial aid eligibility; explain complex federal and state regulations and corresponding district and college policies and procedures regarding financial aid requirements. Provide students and others with technical assistance and answer questions regarding financial aid programs and services; instruct students in correct procedures for completion of forms and applications; explain applications, requirements and restrictions; review completed forms for accuracy and completeness. Process financial aid applications and forms; review records for changes in status; request transcripts, records and other information as needed; assist in determining student need and eligibility as assigned. Operate a personal computer to obtain or verify financial aid information and records; input information and data to maintain records and files. Make presentations to student groups regarding financial aid or employment opportunities; explain departmental policies, procedures and functions. Coordinate communication and activities with other district departments and personnel, educational institutions, governmental and private agencies and the public. Attend workshops to remain current with changes in federal and state financial aid guidelines. Compile information and data and prepare various technical reports and forms related to financial aid delivery and other assigned programs as required; prepare forms, correspondence and documents. Establish and maintain a variety of files and records; maintain confidentiality of information and records. SECONDARY FUNCTIONS: Train and provide work direction to part-time student workers or other support personnel as assigned ensuring overall student service for programs; may participate in screening processes of hiring procedures. May monitor the enrollment of students in grant and student loan programs; review and verify information as necessary; distribute checks. May perform specialized duties in support of the Cal Grant Program to ensure compliance with program guidelines. Process purchase orders and requisitions. Monitor all front office supply requests; prepare hourly timesheets and monitor appropriate budgets. Maintain departmental area(s) in a safe, clean and orderly condition; assure compliance with established safety procedures and regulations. Maintain currency of qualifications for area of assignment. Perform related duties as assigned. KNOWLEDGE AND ABILITIES: KNOWLEDGE OF: Rules, regulations, procedures, policies and functions of Federal and State financial aid programs. Modern office practices, procedures and equipment. Financial and statistical recordkeeping techniques; basic math and accounting principles. Correct English usage, grammar, spelling, punctuation and vocabulary. Oral and written communication skills including telephone techniques and etiquette. Operations, functions and procedures of a financial aid office. ABILITY TO: Perform specialized technical duties to assist students in obtaining financial aid. Read, interpret, apply and explain laws, rules, regulations and policies regarding financial aid programs. Work effectively with students with special needs. Operate a personal computer, including various software packages, used in assigned area to enter and retrieve data in an efficient and effective manner consistent with requirements of the position. Operate other standard office equipment (e.g., calculators, copiers, etc.) Communicate effectively both orally and in writing. Establish and maintain cooperative and effective working relationships with others. Analyze situations accurately and adopt an effective course of action. MINIMUM QUALIFICATIONS: EDUCATION: Graduation from high school or equivalent supplemented by formal training in business office technologies, bookkeeping or accounting. Oversee all aspects of the campus judicial system to include providing consultation on serious judicial cases, proposing changes to the Student Conduct Code, developing and coordinating educational interventions and monitoring caseload volume and consistency. 15. Serve as higher level hearing officer to counsel students in disciplinary hearings. Coordinate and Chair the Conduct Review Board and Appeal Board hearings. 16. Serve as primary liaison between the Office of Residential Life and Judicial Affairs and other offices to provide information and resolve problems. Initiate written communication of all decisions to students and other appropriate parties; maintain sensitivity to potential legal problems related to the campus’ Judicial System and consult with the Vice President/ Dean of Students and/or College Attorney, when appropriate. 17. Provide leadership for all aspects of response to crisis and or emergency situations within the residential life and judicial system(s). 18. Lead or serve as a member on various divisional and college-wide committees. 19. Participate in the Student Affairs and Campus Life Director’s on-call rotation.
