Whalen Center for Music to include concerts, recitals, and master classes. Assist in scheduling venues, assigning event staff, preparing tickets and subscriptions, and with box office operations. Maintain room reservation log, distribute and track keys, and assist in resolving maintenance issues for all Music facilities. Position/Job Responsibilities 1.Assist with scheduling of all music facilities within the James J. Whalen Center for Music to include coordination of logistics for concerts, recitals, and master classes; assist with scheduling events, rehearsals, performance crews, and coordinating program preparation. Proofread and edit publicity materials. 2.Assist with concert season events to include ticket preparation and distribution, season subscription and box office operations. 3.Assist with coordinating travel and lodging accommodations for guest artist and with contract preparation and payment for services rendered. 4.Assist with scheduling of concert halls and staffing for performances, dress rehearsals, special classes, demonstrations, and utilization by outside groups 5.Maintain the room reservation log and assume responsibility for sign-out of rooms for all spaces within the James J. Whalen Center for Music. 6.Assist with practice room reservations and ensure facilities are prepared and available. 7.Assist with rescheduling of classes as appropriate, to accommodate special events, guest artists and prospective faculty candidates. 8.Work with the Office of Facilities regarding maintenance issues for all music facilities, including maintaining a maintenance log. 9.Develop and demonstrate a multicultural awareness and contribute to cultivating an inclusive, diverse and respectful College community. Demonstrate civil and inclusive behavior when interacting with staff, faculty, students and visitors to the College. Promote a flexible, collaborative and inclusive work and living environment and engage in educational opportunities to increase awareness and understanding of diversity and inclusion. 10.Issue keys in accordance with sign-out procedures and maintain the database for tracking location and distribution of keys. Position/Job Qualifications Bachelor’s degree minimum of one year experience in music facilities and events management; strong interpersonal and communication skills and the ability to effectively work and interact respectfully within a diverse and inclusive environment; good attention to detail, ability to handle multiple tasks, prioritize projects, and establish and meet deadlines; working knowledge of computers and proficiency with a variety of word processing, spreadsheet, and presentation software applications and the willingness and flexibility to work occasional nights and weekends are required.
